Best AI receptionists for contractors (2026): sixteen compared, honestly
We sell one of these, so read this as a contractor's notes, not a neutral review. Every product here is one we wrote a full comparison on, with the other vendor's pricing read from their own page and dated. Each row links to that comparison, which says where they beat us.
How to read the table
Three columns matter more than the rest. Metering tells you whether the bill goes up in your busiest week. Books with a free/busy check is the difference between an appointment on your calendar and a message asking you to call back; "partial" means it books via a link or a form, or into the vendor's own scheduler, without checking your Google Calendar first. Follow-up sequences is whether the product keeps working the lead after the call ends, which, for estimate-driven trades, is where the money is.

AI Front Desk Helper
Owner-operator to mid-size contractors who want the whole after-the-call system, not just an answered phone. With the estimator turned on (included on Elite, a $20/month add-on on Basic and Pro), Alex, the AI receptionist, gives ballpark prices by phone and text for 12 trades (junk removal, window cleaning, pressure washing, lawn care and more) from your own price sheet, gives your service-call fee in trades that price on site, rings up to three on-call phones for after-hours emergencies, reads photos customers text in, and can auto-assign bookings across your crews; Quick Quote pages cover painting, roofing, siding, fencing, gutters and those 12 trades. Pick by situation
"I'm a one- or two-crew painter, roofer or remodeler and I miss calls on the job site."
Your calls are estimate requests, not emergencies, and the money is in booking them and following up. You want calendar booking with a free/busy check and a follow-up sequence. That narrows it to AI Front Desk Helper on the Pro plan, or Jobber's add-on if you're on Jobber and can live without follow-up. Read the painting, roofing or remodeling guide.
"I run HVAC or plumbing and the after-hours calls are killing me."
You need triage, on-call notification and 24/7 answering with no after-hours surcharge. Sameday and Avoca if you're on ServiceTitan at scale; ServiceTitan's Virtual Agent if you're on Pro; AI Front Desk Helper if you're on Google Calendar or a lighter CRM and want the follow-up layer too; Alex texts your on-call tech a briefing, rings up to three phones in order until one presses 1 to take the call, and gives your service-call fee when a caller asks. The after-hours guide has the flow.
"I just want the phone answered as cheaply as possible."
Rosie at $49 or Dialzara at $29, both metered, both fine at low volume. Goodcall if you'd rather pay per caller than per minute. Expect to do the booking and follow-up yourself.
"My customers won't talk to a robot."
Ruby (all human), or Smith.ai and Signpost (AI with human backup). Pay by the minute and accept that they take messages rather than book. The answering service comparison covers when that's the right trade.
"My real problem is reviews and texting, not the phone."
Podium is built around that, with AI answering as a secondary feature. If you also want the phone handled and the reviews replied to in one system, that's the Elite plan here, and the Podium comparison is the honest version of that pitch.
What AI Front Desk Helper does besides answer the phone
Answering the phone is the entry point, not the product. Here is the rest of what runs once a contractor is on AI Front Desk Helper:
- Booking that respects your calendar. Alex checks your own Google Calendar and offers real open times, so it never books a slot you're already on a job for. Jobs per time slot, arrival windows, appointment length, same-day booking and service days by ZIP code are all settings. Reschedules and cancellations move or remove the event.
- Crews, not just one calendar. Optional auto-assign books each job to a free crew member in turn, using their own calendar and work days, and adds them to the event. Repeating visits (weekly, every two weeks, monthly) can be paused for one customer or for the season.
- After-hours emergencies. You write what counts as an emergency and list up to three on-call phones. Alex rings them in order with a text briefing, and the tech presses 1 to take the call. Emergency texts and website chats alert the same phones, and a tech can reply CALL to be connected.
- Photos by text. Customers can text a photo to your number. Alex saves it to their card, forwards an emergency photo to the on-call phones, sends your Quick Quote link for a job it can price, and offers a visit for anything else.
- Straight answers on price. With the estimator turned on, for junk removal, window cleaning, pressure washing, house cleaning, pest control, garage doors, pool service, flooring, concrete, window installation, stump grinding and lawn care, Alex gives a ballpark from your own price sheet and says the crew confirms on site. Trades that price on site can set a service call fee, and Alex answers financing and insurance questions from what you set. No number you didn't give it.
- Instant online quotes. A branded quote-and-book page for your business (yours looks like quote.yourcompany.com) where customers get a ballpark and pick a time, day or night. Built in for painting, roofing, siding, fencing, gutters and the twelve trades above, and switched on with the estimator (included on Elite, a $20/month add-on on Basic and Pro).
- Estimate follow-up that doesn't quit. Text sequences at 24 hours, 3, 5 and 10 days on every quote that hasn't closed, written like a contractor, stopping the moment the customer replies.
- Objection detection. "Too expensive" or "need to think about it" triggers a recovery script instead of a polite goodbye.
- Outbound campaigns. AI calls and texts to your past-customer list for seasonal reactivation, win-backs and referral asks. You set the campaign; it dials.
- Google Business Profile, handled. Every new review gets an owner reply drafted for you; profile posts can be drafted, approved and scheduled weeks ahead; a profile health audit shows how you stack up against nearby competitors.
- Revenue coaching by lead source. Every phone number is tied to where it came from (Angi, LSA, Facebook, referral, yard sign), so the dashboard shows which marketing produces booked revenue and which to cut.
- Customer DISC profiles. Every caller and texter gets a buying-style read (D, I, S or C) from what they actually said, with a confidence flag, so you walk into the estimate knowing how to sell to them.
- Franchise HQ. One rollup across every location for multi-unit operators.
- Reseller program. Agencies can offer the whole system under their own brand. How it works.
- Optional add-on: AI Rep Coach. Records in-home estimates and coaches the people who sell, with manager review and team analytics. Sold separately, per seat.
Questions people ask
What is the best AI receptionist for a small contractor?
It depends on what you need after the call. If you just need the phone answered cheaply, Rosie or Dialzara. If you're on Jobber or Housecall Pro, start with their built-in receptionist. If you want booking with availability checks, estimate follow-up, outbound and review replies in one system, that's what AI Front Desk Helper is built for. The table on this page shows who does what.
Do AI receptionists work for HVAC and plumbing emergencies?
The good ones triage: they ask what's happening, book the non-urgent calls, and notify your on-call tech for the real emergencies. None of them can dispatch a truck. See the after-hours guide for the flow that works.
Should I pick an AI receptionist with a small or a large minute allowance?
A small allowance is cheaper at very low volume and more expensive exactly when you're busiest. A large included allowance costs the same during a storm week unless you go past it. Estimate your monthly minutes from your phone bill before choosing.
Is an AI receptionist better than an answering service?
For most contractors, yes, because it can book and follow up, which a message-taking service can't. Live services still win for emotionally loaded calls and for customers who won't talk to software. Full comparison in the answering service guide.
How did you rank these?
We didn't rank them; there's no honest single order. We read each vendor's pricing page on the date shown, tested what we could, and put the facts in a table so you can pick by your situation. Each row links to a full comparison that says where that product beats ours.
