A pool tech's phone rings at the worst times: hands in a skimmer basket, halfway through backwashing a filter, driving between stops with fifteen houses left. The calls that go to voicemail aren't small. A new weekly customer is worth a visit every week of the season, and routine maintenance visits average about $236 each according to Angi, "How Much Does It Cost to Maintain a Pool [2026 Data]". A homeowner with a green pool the week before a party calls three companies and books whoever answers.
The season makes it worse. Every opening call lands in the same four weeks of spring, and every closing call in the same few weeks of fall. The office can't keep up, the owner is on the route, and the callers who don't leave a message are the ones who needed you most.
What the AI does on a pool service company call
The AI answers as your company, in about two rings, on every call at once, day or night. It asks what a good office manager asks: what they need (weekly or every-other-week service, an opening, a closing, a one-time cleanup, a repair), the pool type (in-ground or above-ground, chlorine or salt), roughly how big, whether there's a spa, and the address. For a green pool it asks how long it's been that way. For a repair it gets the symptom: pump won't prime, heater won't fire, leak, noisy motor.
It checks your service area, then books into real open time on your Google Calendar after a free/busy check, in arrival windows if you use them. If you set service days by area, Alex asks the ZIP code and offers that route's days, so a new stop lands on the day you're already in that part of town. A booking off the route still goes through, with a note on it. For weekly or every-other-week service, it books the first visit and sets the repeat on the same call, on the same weekday. That's the repeating-appointments feature in Bookings, and it holds the slot so a new customer can't be booked on top of it. If you run more than one tech, turn on auto-assign and each booking goes to a free tech in turn, using each tech's own Google Calendar and work days. The tech is added to the calendar event and gets a briefing text before the visit.
On price: Alex gives a ballpark from your pool price sheet, by pool size: weekly service as a monthly price, one-time cleanings, green-pool cleanups, openings, closings and filter cleaning. You move any line up or down by percentage to match your rates. It always says it's a ballpark and the pool tech confirms the exact price at the first visit, before starting. Equipment repairs, leaks, acid washes and resurfacing get a visit booked instead of a number. Callers who find you online get the same range from the Quick Quote on your website and can pick a time there. It doesn't give chemical or equipment advice. You decide what counts as urgent (a pool that's losing water fast, a commercial pool that has to reopen). Alex judges each call from what the caller describes, and those calls ring your on-call phones in order: a text briefing first, then a spoken one, and the tech presses 1 to take the call.
What happens after the call
Each repeating visit is a real booking, booked ahead so the stop stays on the route. The customer gets a text the day before (once you turn on appointment confirmation texts) and can reply to skip one visit. Only that visit is cancelled and the schedule continues. You can also pause one customer while they're away, or pause every weekly customer for the winter, from Bookings. Callers who got a quote on a cleanup, a resurface or new equipment and didn't book go into a follow-up text sequence at 24 hours, 3, 5 and 10 days, which stops when they reply. Missed calls get a text back within seconds.
On Elite, outbound campaigns work last year's list before the season starts: every customer you opened last spring gets a call or text in March asking to get on this year's opening schedule, and closings get the same in August. Every number you publish is tracked as its own lead source.
What it doesn't do: build or optimize your route, log chemical readings, or take payment. Those stay in your pool software.
A week on the phone, pool service company edition
This is an example of how the system handles a week, not a customer's results.
Tuesday in May, 10:15 am. You're on stop six. A new homeowner calls: they just bought a house with an in-ground salt pool and want weekly service. Alex asks the size and whether there's a spa, gives a ballpark for weekly service from your price sheet, books a first visit for Thursday and sets it to repeat every Thursday. They get one text with the schedule. At 11:40 a caller says the pool has been green for two weeks and they're hosting a graduation party in ten days. The AI books a cleanup visit for tomorrow morning and notes the deadline.
At 6:30 pm a customer's pump is running but not moving water. The AI books a repair visit for the first open window and texts you the symptom. Friday, a caller who got a quote for a new variable-speed pump gets the day-3 follow-up and replies, "Go ahead."

Trades that price on site can set a service call fee, and Alex answers financing and insurance questions from what you set. No number you didn't give it.
- Instant online quotes. A branded quote-and-book page for your business (yours looks like quote.yourcompany.com) where customers get a ballpark and pick a time, day or night. Built in for painting, roofing, siding, fencing, gutters and the twelve trades above, and switched on with the estimator (included on Elite, a $20/month add-on on Basic and Pro).
- Estimate follow-up that doesn't quit. Text sequences at 24 hours, 3, 5 and 10 days on every quote that hasn't closed, written like a contractor, stopping the moment the customer replies.
- Objection detection. "Too expensive" or "need to think about it" triggers a recovery script instead of a polite goodbye.
- Outbound campaigns. AI calls and texts to your past-customer list for seasonal reactivation, win-backs and referral asks. You set the campaign; it dials.
- Google Business Profile, handled. Every new review gets an owner reply drafted for you; profile posts can be drafted, approved and scheduled weeks ahead; a profile health audit shows how you stack up against nearby competitors.

Does it track chemical readings or plan routes?
No. Keep using your pool software for routes, readings and billing. You can give Alex your service days by ZIP code so new stops land on the right day, but it doesn't build or optimize the route. Alex handles the phone, the booking and the follow-up.
