This Privacy Policy describes how AI Front Desk Helper LLC ("we," "us," or "our") collects, uses, and protects information when you use AI Front Desk Helper (aifrontdeskhelper.com) and our related services, including our website, web chat widget, SMS messaging, voice calling, dashboard application, and optional Google integrations (collectively, the "Services").
We do not sell, rent, share, transfer, or otherwise disclose your mobile phone number or SMS opt-in data to third parties or affiliates for marketing or promotional purposes. Mobile information collected for SMS communication is used solely to provide the Services you have requested. Message frequency may vary. Message and data rates may apply. AI Front Desk Helper offers two optional Google integrations: one that helps businesses manage their own Google Business Profile, and one that places booked appointments on the business's own Google Calendar. Each is connected separately, only when you choose to, and each requests only the permissions needed for that feature. This section describes how our application accesses, uses, stores, and shares data obtained through Google API Services, and how that handling complies with Google's policies.
AI Front Desk Helper's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
The application requesting access is AI Front Desk Helper, operated by AI Front Desk Helper LLC. When you connect your Google Business Profile or your Google Calendar, you authorize our application — and only our application — to act on your behalf for the features described below. We never request access on behalf of any other party, and we do not allow other businesses or agencies to route their own API access through our application.
When you choose to connect your Google Business Profile, we request a single
Google permission scope (business.manage). We request this only after
you click "Connect" inside our dashboard, and only to power features you can see
and use in our product. Specifically, we use this access to:
We request only this scope because it is the access necessary to provide these features. We do not request access to data we do not need, and we do not request access to features that do not yet exist.
Automated actions and consent. We do not create posts, publish review responses, or make any change to your Business Profile without your prior, specific, and express consent. By default, content we generate is held for your review and is only published when you approve it. If you choose to enable automatic posting on a schedule, you do so through an explicit opt-in control in our dashboard that clearly states posts will be published to your live profile automatically; you can turn this off at any time.
Separately from Business Profile, a business may connect its Google Calendar so that appointments booked through AI Front Desk Helper — by phone, text message, or the business's website — appear on the calendar its crew already uses. This integration is optional and is connected only when the business clicks "Connect Google Calendar" in our dashboard.
When you connect Google Calendar, we request the following permissions, and use each only as described:
calendar.events.owned). We use this to create an appointment on your
own primary calendar when a customer books an estimate, and to remove that
appointment if the customer cancels. We write only to your own primary calendar.
We do not read the details of your existing events, do not access calendars you
do not own, do not share calendars, and do not modify events we did not create.
calendar.freebusy). Before offering an appointment time to a
customer, we check whether you are already busy at that time so the customer is
not booked over an existing commitment. This permission returns only whether a
time range is busy; it does not return the title, attendees, location, or any
other detail of what is on your calendar.
userinfo.email). We display the connected address in your Settings
page so you can confirm which Google account your calendar is linked to.
We request these narrower permissions rather than full calendar access because creating our own appointments on your own calendar, and checking whether a time is free, is all the integration does.
Data that flows into your calendar. The appointment we create contains the details the customer provided when booking — typically their name, phone number, service address, the requested service, and any notes. That information is placed on your calendar so your crew can do the job; it is the same information shown to you in our dashboard. It is written to your calendar and nowhere else within Google.
Data we store from your calendar. We store the Google authorization token needed to act on your behalf, the email address of the connected account, and the identifier of each appointment we create (so we can remove it on cancellation). We do not store the contents of your other calendar events, and free/busy results are used at the moment of booking and not retained.
Consistent with the Limited Use requirements of the Google API Services User Data Policy, AI Front Desk Helper affirms that information received from Google APIs — whether from Business Profile or Calendar — is:
We store the Google authorization tokens and the profile, review, post, performance, and appointment data necessary to provide the features above. This data is stored on our infrastructure providers acting as our processors under confidentiality obligations. We treat all such data securely in transit and at rest and take reasonable and appropriate measures to protect it against unauthorized access, use, loss, or disclosure. Access by our personnel is limited to what is needed to operate, support, and secure the service.
You may disconnect your Google Business Profile or your Google Calendar from AI Front Desk Helper at any time from within our dashboard, which revokes our token and stops all further access. You may also revoke our access directly from your Google Account at myaccount.google.com/permissions. On disconnection or on request, we delete the Google authorization tokens and, on request, the associated Google-derived data we hold for your account, except where retention is required by law. Appointments already placed on your calendar remain yours and are unaffected.
We do not sell, rent, or share data obtained from Google APIs with any third party for advertising or other independent commercial purposes. We share it only with infrastructure sub-processors that host and operate our service on our behalf, under obligations consistent with this disclosure, and where required by law.
We retain personal information for as long as necessary to provide the Services and comply with legal obligations. Conversation transcripts and call recordings are retained for up to 24 months unless a longer period is required for fraud prevention, legal hold, or compliance. Account data is retained while your account is active and for a reasonable period after closure to handle billing and legal matters. Google authorization tokens are deleted when you disconnect the integration.
We implement reasonable administrative, technical, and physical safeguards to protect personal information, including encryption in transit (TLS), encryption at rest, access controls, and regular security reviews. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
AI Front Desk Helper uses artificial intelligence to assist businesses in responding to customer inquiries and managing communications. AI responses are designed to assist and support customer interactions, but complex service questions may require follow-up by a human representative.
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us and we will delete it.
The Services are operated in the United States. If you access the Services from outside the U.S., your information will be transferred to, stored, and processed in the U.S., where data protection laws may differ from those in your country.
We may update this Privacy Policy from time to time. Material changes will be communicated by email (if we have your address) or by prominent notice on our website. The "Effective date" at the top of this page reflects the most recent update.
