Short version. A window cleaning caller rarely books without a number, and the job is too small to drive out and quote. Where window cleaning companies actually lose the job

A window cleaner's phone rings hardest in spring and fall, which is exactly when you're on a ladder or a water-fed pole all day. The caller who wants the house done before a graduation party doesn't leave a voicemail; they call the next listing. The ones you do reach want a price on the spot, and "we'll have to come look" loses a lot of them, because nobody wants a sales visit for a $200 job.

Pricing by phone has its own problem: a count of "about twenty windows" turns into thirty-four panes and a sunroom. You need a range you can stand behind, a minimum that protects a small job, and a clear line that the crew confirms on site.

What the AI does on a window cleaning company call

The AI answers as your company, in about two rings, on every simultaneous call. It asks what sets your price: inside and out, or outside only; roughly how many windows; how many stories; and the address. It notes extras the customer mentions, like screens, tracks or hard-water spots, for the crew, and doesn't invent a price for them.

Then Alex, the AI receptionist, gives a ballpark from your rates. With the default mid-region sheet that's $4 to $8 a window for outside only with a $125 to $175 minimum, and $8 to $15 a window for inside and out with a $150 to $200 minimum. It books into two-hour arrival windows, same day if there's room, with jobs-per-window set to your number of crews, so it never stacks three houses into a window two crews can cover. Out-of-area callers get a polite no. The same questions and ranges run on your website's Quick Quote for customers who'd rather not call.

What happens after the call

With auto-assign on, each booking goes to a crew member who works that day, is free in that window and has the fewest jobs so far. It lands on their Google Calendar with the address and notes, and in their app with the window the customer was promised. Callers who got a price but didn't book go into a follow-up text sequence at 24 hours, 3, 5 and 10 days, which stops when they reply. Missed calls get a text back in seconds. Booked customers get a reminder.

Customers who want regular service can be put on a repeating schedule: every 4 weeks, monthly or quarterly, on the same weekday and window. With repeating appointments turned on, the AI asks on the call and sets it up. The next visits are booked ahead so the slot is held, and each one gets the day-before text. A customer skips one visit by calling or texting, and you can pause one customer, or everyone for the winter, from Bookings. What it doesn't do is build your route. But if your crews work set areas on set days, list them by ZIP code: Alex asks the caller's ZIP and offers that area's days, and a booking off the route still goes through, with a note on it.

A week on the phone, window cleaning company edition

This is an example of how the system handles a week, not a customer's results.

Tuesday in April, 10:15 am. Both crews are on jobs. A caller wants the outside of a two-story done before Saturday: about 25 windows. Alex quotes about $125 to $200 (the minimum covers the low end), says the crew confirms on site, and books Thursday 10 to 12. At 10:20 a second caller asks about a three-story home; the AI books an on-site look. At 7:40 pm a homeowner asks for inside and out on a ranch; booked for Friday morning.

The next week, a caller who got a price but said "let me ask my husband" gets the day-3 text and replies with a time. In September, on Elite, a fall campaign texts every spring customer; the replies land in the dashboard as bookings.
