An AI front desk for landscaping and fencing companies that books the spring rush and calls last year's customers back
Landscaping and fencing live on two things: the spring phone and the past-customer list. Here's how the AI handles the March-to-June surge and works the list the rest of the year.
Ballpark prices by phone and text, and the Quick Quote page, work when you turn on the estimator in Settings (included on Elite, a $20/month add-on on Basic and Pro). With it off, Alex books the visit instead of giving a price.
Where landscaping and fencing companies actually lose the job
In April a landscaper's phone rings more than a crew can answer, and every missed call is a mulch job or a fence line that goes to the next company on Google. The estimates you do book get quoted from the truck and then forgotten in the rush; the customer who said "let me check with my husband" never hears from you again. Then winter comes and the phone is dead, even though every customer you've ever installed a fence for needs it stained in three years and every cleanup client needs one again next spring. That list sits in a spreadsheet nobody calls.
Seasonal volume punishes receptionist services with small minute allowances or per-call pricing: you pay overage in April and nothing in January, which is backwards. And a human service can't answer four calls at once on the first warm Saturday.
What the AI does on a landscaping or fencing company call
The AI answers every call at once, as your company, all season. It asks what a good estimator asks: what the job is (design, install, maintenance, cleanup, fence install or repair, staining), rough size, the address, when they'd like someone out. It knows your service area and says no politely to the call from the next county. It checks your Google Calendar's free/busy and books the estimate into a real open slot with the details on the event. Alex, the AI receptionist, doesn't give fence prices over the phone; callers who want a ballpark on a fence get your instant-quote page for a range, then book. Landscaping and patio work gets an estimate booked. Mowing and lawn care are different: Alex gives a ballpark from your own price sheet, says the crew confirms the price on site, and books it. For maintenance routes, set your service days by ZIP code; Alex asks for the ZIP, offers that route's days, and can set up weekly, every-two-weeks or monthly visits you can pause for the season. Robocalls are screened out and kept off your lead list.
What happens after the call
After the estimate, the quote enters a text sequence at 24 hours, 3, 5 and 10 days, written for a landscaping or fencing conversation and stopping when the customer replies. Objections on the call ("that's more than the other guy," "we might wait until fall") trigger a recovery script. Missed calls get an instant text-back, which on a spring Saturday is the difference between a booked estimate and a competitor's.
The bigger lever for this trade is on Elite: outbound campaigns. In February the AI calls and texts last year's customers for spring cleanup and mulch, calls fence customers from three years ago about staining, and asks happy customers for a referral by name. The season starts with a full calendar instead of a quiet phone. Every number you publish is tracked by lead source, so you know whether the door hangers, the Nextdoor posts, the LSA spend or the referral asks filled it.
A week on the phone, landscaping or fencing company edition
This is an example of how the system handles a week, not a customer's results.
First warm Saturday in April, 8 am to noon: eleven calls. The AI answers every one. Seven estimates booked into next week's open slots, two callers outside your area sent on their way, one fence quote request sent to the instant-quote page and then booked, one robocall screened out. Your crew lead didn't touch the phone.
The following Thursday a quote for a 180-foot privacy fence ends with "we'll think about it." Day 5 text: "Still thinking about the cedar fence? Lumber prices hold through the end of the month." Reply: "Let's do it." In February, before any of this, the outbound campaign had already started booking last year's customers onto the spring route.
What AI Front Desk Helper does besides answer the phone
Answering the phone is the entry point, not the product. Here is the rest of what runs once a contractor is on AI Front Desk Helper:
- Booking that respects your calendar. Alex checks your own Google Calendar and offers real open times, so it never books a slot you're already on a job for. Jobs per time slot, arrival windows, appointment length, same-day booking and service days by ZIP code are all settings. Reschedules and cancellations move or remove the event.
- Crews, not just one calendar. Optional auto-assign books each job to a free crew member in turn, using their own calendar and work days, and adds them to the event. Repeating visits (weekly, every two weeks, monthly) can be paused for one customer or for the season.
- After-hours emergencies. You write what counts as an emergency and list up to three on-call phones. Alex rings them in order with a text briefing, and the tech presses 1 to take the call. Emergency texts and website chats alert the same phones, and a tech can reply CALL to be connected.
- Photos by text. Customers can text a photo to your number. Alex saves it to their card, forwards an emergency photo to the on-call phones, sends your Quick Quote link for a job it can price, and offers a visit for anything else.
- Straight answers on price. With the estimator turned on, for junk removal, window cleaning, pressure washing, house cleaning, pest control, garage doors, pool service, flooring, concrete, window installation, stump grinding and lawn care, Alex gives a ballpark from your own price sheet and says the crew confirms on site. Trades that price on site can set a service call fee, and Alex answers financing and insurance questions from what you set. No number you didn't give it.
- Instant online quotes. A branded quote-and-book page for your business (yours looks like quote.yourcompany.com) where customers get a ballpark and pick a time, day or night. Built in for painting, roofing, siding, fencing, gutters and the twelve trades above, and switched on with the estimator (included on Elite, a $20/month add-on on Basic and Pro).
- Estimate follow-up that doesn't quit. Text sequences at 24 hours, 3, 5 and 10 days on every quote that hasn't closed, written like a contractor, stopping the moment the customer replies.
- Objection detection. "Too expensive" or "need to think about it" triggers a recovery script instead of a polite goodbye.
- Outbound campaigns. AI calls and texts to your past-customer list for seasonal reactivation, win-backs and referral asks. You set the campaign; it dials.
- Google Business Profile, handled. Every new review gets an owner reply drafted for you; profile posts can be drafted, approved and scheduled weeks ahead; a profile health audit shows how you stack up against nearby competitors.
- Revenue coaching by lead source. Every phone number is tied to where it came from (Angi, LSA, Facebook, referral, yard sign), so the dashboard shows which marketing produces booked revenue and which to cut.
- Customer DISC profiles. Every caller and texter gets a buying-style read (D, I, S or C) from what they actually said, with a confidence flag, so you walk into the estimate knowing how to sell to them.
- Franchise HQ. One rollup across every location for multi-unit operators.
- Reseller program. Agencies can offer the whole system under their own brand. How it works.
- Optional add-on: AI Rep Coach. Records in-home estimates and coaches the people who sell, with manager review and team analytics. Sold separately, per seat.

Which plan for a landscaping or fencing company
For landscaping and fencing specifically, Elite is worth a hard look even for a small company, because the outbound campaign to last year's list is the single highest-return thing in this trade. Pro is the right start if you want the spring phone handled and the quotes followed up first and the list worked later. Basic covers the phone and lead capture only.
Questions landscaping and fencing companies ask
Can it call my past customers before spring?
On Elite, yes. You set the campaign (spring cleanup, fence staining, referral ask) and the AI calls and texts your list. Replies and bookings land in your dashboard.
Does it book estimates for both landscaping and fencing?
Yes. It asks which service, gets the details, and books into your Google Calendar after a free/busy check.
What about the winter, when we're slow?
Same monthly rate, no minimums. Winter is when the outbound campaign earns the year's subscription.
Can it give a fence price over the phone?
No. Alex doesn't give fence prices by phone. It sends callers to your instant-quote page for a range based on your rules, then books the estimate for the real number. Mowing and lawn care are the exception: Alex can give a ballpark from your own price sheet.
Does it handle snow removal calls if we do that in winter?
Yes. Load it as a service and Alex books it on your calendar like anything else. It doesn't dispatch, but with auto-assign on, each booking goes to the next free crew member and lands on their Google Calendar.
Fifteen minutes. We call your business line, run a real landscaping or fencing company call, and show you what happens after it. You decide.
