An AI receptionist built by a painting contractor, for painting contractors
I own a painting company in Omaha. I built this because I was losing jobs to voicemail on a ladder and losing more of them to quotes I never followed up on. Here's what it does for a paint shop, specifically.

Where painting contractors actually lose the job
Nobody in painting loses jobs at the moment the phone rings; they lose them in the gaps. The call comes in at 10:40 while you're cutting in a ceiling, goes to voicemail, and the homeowner calls the next painter on the list, who answered. Or the walkthrough goes well, you send the quote that night, and then nothing: no follow-up on day three, no answer to "we're still deciding," and six weeks later you see the neighbor's house getting painted by someone else.
Then there's the calendar. You quote Tuesday at 4 from memory, forget the exterior wrap-up in Elkhorn, and now you're apologizing to a customer before you've even met them. And at the end of the season you're paying Angi, LSA and Facebook without any real idea which one produced the jobs that paid.
Every one of those is a follow-through problem, not a phone problem. A message-taking service fixes the first one and none of the rest.
What the AI does on a painting contractor call
The AI answers as your company, in two rings, 24 hours a day, at the same time as three other calls if that's what's happening. It asks what a painting estimator would ask: interior or exterior, roughly how many rooms or the size of the house, whether there's cabinet or deck work in it, the address, and when they'd like someone out. It knows your service area, so a call from forty miles out gets a polite no instead of a wasted drive. It knows your hours and your crew's schedule because it checks your Google Calendar's free/busy before it offers a time, and it books the walkthrough straight onto that calendar with the customer's name, phone, address and notes on the event.
Alex, the AI receptionist, doesn't give painting prices over the phone. If the customer wants a ballpark before booking, it points them to your instant-quote page, where they answer a few questions and get a range in about a minute, then pick a time. If they text a photo of the room or the siding, Alex saves it to their customer card and sends the same link. If they ask for a person during business hours, it transfers the call to your office line with a briefing of what they've said so far. Robocalls are screened out and kept off your lead list.
What happens after the call
This is the part painting contractors are missing. When a walkthrough happens and the quote goes out, the customer is entered into a follow-up sequence: a text at 24 hours ("Any questions on the quote for the exterior?"), then at 3 days, 5 days and 10 days, each written the way you'd write it, each stopping the moment they reply. If a caller says "that's more than we expected" or "we need to think about it," the AI hears it and switches to a recovery script instead of ending the call politely.
Every missed call gets a text-back within seconds. Every booked walkthrough gets a reminder the day before, which cuts the no-shows that eat a painter's afternoon. And every phone number you publish, on Angi, on LSA, on the yard sign, on the truck, is tracked separately, so the dashboard shows you booked revenue by source. That's how I found out which channel was producing jobs for Gladiators and which one I was paying for out of habit.
What it has done at Gladiators Painting
These are real numbers from my own company's line in Omaha, from March 19 to September 30, 2026, not counting my own test calls.
- 412 calls came into the line. Alex spoke on 352 of them; the other 60 ended before it said anything.
- 159 were flagged as robocalls or spam. In September alone it was 69 of 118 calls. More than half of what rings a painting company's phone right now isn't a customer.
- 35 calls that weren't flagged as spam came in on a weekend or outside 8 to 5 on a weekday. Those are the calls that used to go to voicemail.
What I won't publish yet is a booking rate. Our early months mixed real customers with testing, and I'd rather show you nothing than a number I can't stand behind. A week on the phone, painting contractor edition
This is an example of how the system handles a week, not a customer's results.
Monday, 7:50 am, you're loading the van. A homeowner in Papillion calls about a two-story exterior. The AI answers, gets the address and the fact that it's cedar siding with some peeling, and offers Wednesday at 2, which is open on your calendar. Booked. You see it on your phone before you've left the driveway.
Tuesday afternoon a robocall about your Google listing gets dropped without ringing you. Tuesday evening a text comes in from the estimate you did last Thursday: "we went with you, when can you start?" That's the day-5 follow-up doing its job. Wednesday you do the Papillion walkthrough and send the quote from the truck; the sequence starts that night. Friday a caller asks about painting a kitchen's cabinets; the AI sends them the instant-quote link, they get a range, and they book for next Tuesday.
Saturday morning you open the dashboard: 11 calls answered this week, 6 estimates booked, 2 quotes closed, and the one closed job that came from LSA is worth more than the three leads Angi sent that never picked up.
What AI Front Desk Helper does besides answer the phone
Answering the phone is the entry point, not the product. Here is the rest of what runs once a contractor is on AI Front Desk Helper:

Trades that price on site can set a service call fee, and Alex answers financing and insurance questions from what you set. No number you didn't give it.
- Instant online quotes. A branded quote-and-book page for your business (yours looks like quote.yourcompany.com) where customers get a ballpark and pick a time, day or night. Built in for painting, roofing, siding, fencing, gutters and the twelve trades above, and switched on with the estimator (included on Elite, a $20/month add-on on Basic and Pro).
- Estimate follow-up that doesn't quit. Text sequences at 24 hours, 3, 5 and 10 days on every quote that hasn't closed, written like a contractor, stopping the moment the customer replies.
- Objection detection. "Too expensive" or "need to think about it" triggers a recovery script instead of a polite goodbye.
- Outbound campaigns. AI calls and texts to your past-customer list for seasonal reactivation, win-backs and referral asks. You set the campaign; it dials.

Which plan for a painting contractor
Most painting contractors land on Pro. It's the plan with Google Calendar booking and the estimate follow-up sequences, which is where a paint shop's revenue leak actually is. Basic makes sense if you truly only need calls answered and leads captured. Does the AI know the difference between an interior and an exterior estimate?
Yes. It asks the questions a painting estimator would ask, including scope, surfaces, rough size and whether cabinet or deck work is involved, and puts the answers on the calendar event so you walk in prepared.
Can it give a price over the phone?
No. Alex doesn't give painting prices by phone. It can point the caller to your instant-quote page, which gives a range based on rules you set, and books the walkthrough for the real number.
What happens if I'm spraying and can't take a transfer?
Alex books the walkthrough or takes the details, and you get a text when something is booked. It only transfers during business hours, to your office line, and briefs you first, when a caller asks for a person or it's a commercial job, a big job or an upset caller.
Will it double-book me?
No. It checks your Google Calendar's free/busy before offering any time, and it puts the booking on that same calendar.
Does it work with Jobber or Housecall Pro?
