AI FRONT DESK HELPER
AI receptionist for window installation companies

An AI receptionist for window installation companies that books the consultation and follows up the quote

A homeowner replacing their windows is making a $7,000 decision and usually talking to three companies. The one that answers, books a real consultation and stays in touch without a hard sell usually gets the job. Here's the phone side of that.

Short version. Window replacement is a consultation sale. AI Front Desk Helper answers every call at once, 24/7, in English or Spanish. It asks how many windows, how old they are and what's wrong (drafts, fog between the panes, rot, won't open), whether they want the whole house or a few, any door work, their timeline, and, if you want it asked, whether everyone who decides will be at the consultation. It books the in-home consultation into open time on your Google Calendar with those notes on the event. Alex, the AI receptionist, gives a ballpark per window by phone or text from your own price sheet and says the estimator confirms the exact price after measuring. Financing questions get the answer you wrote, and homeowners can text a photo of the window. Every quote that doesn't close gets follow-up texts at 24 hours, 3, 5 and 10 days, and callers who say the number is higher than expected get a recovery script instead of a goodbye. $297 to $997 a month, with 500 to 3,000 call minutes included.

Ballpark prices by phone and text, and the Quick Quote page, work when you turn on the estimator in Settings (included on Elite, a $20/month add-on on Basic and Pro). With it off, Alex books the visit instead of giving a price.

Where window installation companies actually lose the job

Window companies spend real money for every lead: LSA, mailers, home shows. Angi puts the average window replacement project at $7,347, and about $750 a window (Angi, "Window Replacement Cost [2026 Data]"). Missing the call while your installers are on a ladder and your sales rep is in a living room throws that money away.

The consultation is where the rest leaks. A rep drives out, measures, and presents to one spouse while the other is at work. The homeowners say they want to think about it, get two more quotes, and go quiet. The companies that close are the ones that follow up, and a busy small company rarely does.

What the AI does on a window installation company call

The AI answers as your company, in about two rings, on every call at once. It asks what your rep wants to know before driving out: how many windows, roughly how old, what's wrong with them, whole house or a few rooms, any sliding or entry doors, whether the home is older (lead paint rules apply to pre-1978 homes, and your rep will want to know), and their timeline. If you want it to, it asks whether everyone who makes the decision can be at the appointment, the way your sales process asks it.

Then it books the consultation into open time on your Google Calendar after a free/busy check, with those answers on the event. If you have more than one rep, each booking can go to whoever's free, with a calendar invite and a briefing text. A single fogged or broken pane gets a ballpark from the glass-only line on your sheet and a service visit booked.

On price: Alex reads from your window price sheet: replacement windows per window by frame material (vinyl, fiberglass, wood), glass-only per pane, and sliding patio doors. You move any line up or down by a percent. A caller who asks what windows cost hears a range per window, never a firm number, and that the estimator confirms the exact price after measuring. Then Alex books the consultation. Your Quick Quote page (quote.yourcompany.com) does the same online: a few questions, a ballpark range, and a time to pick. Homeowners can also text a photo of the window; Alex saves it to the customer card and sends your Quick Quote link or offers a consultation. If they ask about financing, Alex answers from the yes-or-no and one line you wrote, and never promises approval, a rate or a monthly payment.

What happens after the call

After the consultation, every quote that doesn't close goes into a follow-up text sequence at 24 hours, 3, 5 and 10 days, written for a window conversation ("Any questions on the vinyl versus fiberglass options?") and stopping the moment they reply. If a caller says "that's more than we expected," the AI switches to a recovery script, such as the rooms that matter most first or the rest next year, instead of ending the call. Consultations get a reminder the day before, which cuts down on the drive to an empty house.

Every number you publish is tracked as its own lead source, so you can see which one produced signed jobs: the mailer, LSA, the home show or referrals. On Elite, outbound campaigns go back to last year's quotes that never signed and ask past customers for referrals, and every Google review gets a reply drafted.

What it doesn't do: measure, give a firm price, or arrange financing. It books the right consultations and keeps every quote alive.

A week on the phone, window installation company edition

This is an example of how the system handles a week, not a customer's results.

Monday, 12:30 pm. Your rep is in a consultation and your installers are on a job. A homeowner calls about 14 original windows in a 1985 house: drafty, two fogged, one that won't open. She wants it done before winter. The AI books a consultation for Wednesday at 6 with both homeowners and puts the details on the event. At 4:15 a caller has one cracked pane; by your rules, the AI books a glass service visit.

Wednesday's quote ends with "we're getting two more bids." Day 3, no reply. Day 5 text: "Happy to walk through the fiberglass option if the price is the question." Reply: "Can you do the front of the house first?" That's a signed job that used to go quiet.

What AI Front Desk Helper does besides answer the phone

Answering the phone is the entry point, not the product. Here is the rest of what runs once a contractor is on AI Front Desk Helper:

Setup for a window installation company

In Settings, pick Window Installation as your trade. On one onboarding call we load your products and services (replacement windows, new construction, doors, glass repair), your consultation questions, your price sheet, your financing answer, your service area and your reps' calendars. Forward your existing number or port it. Most companies are live within the week.

A straight answer about where this comes from: AI Front Desk Helper was built and tested inside my painting company. Window installation runs on the same setup as our HVAC, plumbing and electrical customers: your rules for what's urgent, calendar booking, follow-up and lead tracking. The window installation price sheet and Quick Quote were added in September 2026, so Alex gives a ballpark and still books the consultation. We don't have results from window installation companies to publish yet, and we won't make them up.

Which plan for a window installation company

Window companies belong on Pro at minimum: consultation booking, reminders and quote follow-up are the whole value. Elite pays for itself if you have a pile of old quotes that never signed, because outbound campaigns work that list, and adds referral asks, review replies and revenue by lead source. Basic is only right if you have a call center and just need after-hours coverage.

Questions window installation companies ask

Can it ask whether both homeowners will be there?

Yes, if you want it to. You write the question the way your sales process asks it, and the answer goes on the booking.

Will it quote window prices?

Yes, with the estimator turned on, as a ballpark per window from your own price sheet, by phone or text. Alex always says the estimator confirms the exact price after measuring, since size, style and material change it, and then it books the consultation.

Can it answer financing questions?

Yes, from what you write. In Settings you answer whether you offer financing, yes or no, plus one line. Alex answers only from that, never promises approval, a rate or a monthly payment, and doesn't bring it up unless the caller asks.

Can it cut down on no-shows?

Every consultation gets a reminder the day before, and the customer can reply to move it. Rescheduling updates your Google Calendar.

Can it work last year's unsigned quotes?

On Elite, yes. Outbound campaigns call and text that list with the offer you set, and replies land in your dashboard.

We're not the company that cleans windows. Is this the right page?

Yes, this page is for window installation and replacement. For window cleaning companies, see our AI receptionist page for window cleaning companies, which covers phone pricing by window count.
